About the Role:
Moleaer is seeking an experienced Senior Program Manager to lead the execution of multiple simultaneously custom-engineered industrial systems from proposal development through customer commissioning and final acceptance. This role is responsible for ensuring projects are delivered on schedule, within budget, compliant with contractual requirements, and meet customer expectations.
The Senior Program Manager serves as the central point of coordination across Engineering, Supply Chain, Manufacturing, Quality, Field Service, Sales, Business Development, and the customer. This individual owns the project schedule, drives accountability across the organization, proactively resolves issues, and ensures timely communication of program status, risks, and recovery plans.
The ideal candidate is highly organized, schedule-driven, customer-focused, and experienced managing complex industrial equipment, process systems, or engineered-to-order products.
Essential Functions:
Program Leadership, Planning & Execution
- Lead programs from proposal development through commissioning, customer acceptance, and project closeout.
- Review customer contracts, specifications, statements of work, technical requirements, and commercial commitments to establish a complete understanding of program scope and deliverables.
- Develop and maintain the Integrated Master Plan (IMP) and Integrated Master Schedule (IMS), translating customer requirements into a structured execution plan encompassing engineering, procurement, manufacturing, quality, testing, logistics, installation, commissioning, and customer acceptance activities.
- Define program work breakdown structures (WBS), major milestones, decision gates, critical paths, resource requirements, and execution strategies.
- Establish program baselines for scope, schedule, and key deliverables and manage execution against approved plans.
- Ensure all customer, regulatory, contractual, quality, and internal requirements are incorporated into program plans and execution activities.
- Coordinate planning activities across Engineering, Supply Chain, Manufacturing, Quality, Field Service, and external partners to ensure alignment and realistic execution schedules.
- Manage program risks, opportunities, assumptions, and dependencies throughout the program lifecycle.
- Lead internal kickoff meetings and program planning reviews to ensure all stakeholders understand requirements, responsibilities, deliverables, and schedules.
- Drive accountability across functional organizations to ensure commitments are met and program objectives are achieved.
- Manage scope changes, engineering changes, customer requests, and contract modifications while assessing impacts to cost, schedule, resources, and deliverables.
- Ensure all program deliverables are completed in accordance with contractual requirements, company procedures, and customer expectations.
- Support proposal development activities by reviewing execution approaches, identifying risks, developing schedules, and providing lessons learned from previous programs.
Contract Deliverables, Reporting & Compliance
- Develop and maintain a comprehensive Contract Data Requirements List (CDRL) / Supplier Data Requirements List (SDRL) matrix identifying all contractual deliverables, reports, drawings, certifications, test records, manuals, quality documentation, and customer submittals.
- Ensure all SDRLs, customer deliverables, and reporting requirements are planned, assigned, reviewed, approved, and delivered on time.
- Coordinate document development and review activities across Engineering, Quality, Manufacturing, Supply Chain, and Field Service organizations.
- Track and report status of all contractual deliverables and customer action items.
- Manage submittal schedules, customer review cycles, approvals, comments, and document revisions.
- Prepare weekly program status reports summarizing schedule performance, risks, issues, mitigation plans, action items, financial status, and key customer commitments.
- Present program status, recovery plans, and executive-level briefings to both internal leadership and customers.
- Ensure program documentation is complete, accurate, traceable, and maintained in accordance with company quality and document control requirements.
Schedule Management
- Develop detailed project schedules in Microsoft Project
- Monitor progress against baseline schedules and identify risks before they impact customer commitments.
- Lead schedule reviews and recovery planning activities when projects fall behind plan.
- Coordinate priorities across Engineering, Supply Chain, Manufacturing, Quality, and Field Service to ensure milestone achievement.
- Provide weekly schedule status updates including critical path analysis, risks, mitigation actions, and forecast completion dates.
- Maintain schedule metrics and performance indicators for management review.
Cross-Functional Coordination
- Lead recurring project meetings and drive action item closure.
- Coordinate activities between Engineering, Supply Chain, Manufacturing, Quality, Field Service, and external suppliers.
- Assign and track actions required to maintain program execution.
- Escalate issues promptly and drive resolution to prevent schedule delays.
- Ensure timely completion of design reviews, procurement activities, inspections, testing, and customer deliverables.
Customer Management
- Serve as the primary customer interface for program execution activities.
- Conduct regular customer status reviews and provide clear communication regarding progress, risks, and milestones.
- Manage customer expectations while protecting project scope, schedule, and budget.
- Coordinate customer approvals, documentation reviews, FATs, SATs, and commissioning activities.
- Support Business Development during proposal development by providing execution planning, schedule estimates, and lessons learned from prior programs.
Risk & Problem Resolution
- Identify technical, supply chain, manufacturing, and execution risks early.
- Develop mitigation and contingency plans to maintain customer commitments.
- Work directly with suppliers and internal stakeholders to resolve material shortages, long-lead item challenges, quality issues, and schedule conflicts.
- Drive issue resolution to closure and ensure corrective actions are implemented.
Reporting & Governance
- Prepare and present weekly program status reports to executive leadership.
- Maintain project dashboards including schedule performance, action items, risks, issues, and customer commitments.
- Lead internal program reviews and gate reviews.
- Ensure proper documentation, records retention, and compliance with company quality procedures.
Qualifications
- Bachelor's degree in Engineering, Operations Management, Business, or a related technical discipline.
- 10+ years of experience managing complex industrial, manufacturing, process equipment, aerospace, energy, water treatment, or engineered systems programs.
- Demonstrated experience managing projects from proposal through customer acceptance.
- Strong expertise in project scheduling and critical path management.
- Experience working directly with customers, suppliers, and executive leadership.
- Proven ability to manage multiple complex projects simultaneously.
- Experience with Microsoft Project, ERP systems, and project reporting tools.
- Excellent written and verbal communication skills.
- Strong leadership, organizational, and problem-solving abilities.
Preferred Qualifications
- PMP certification.
- Experience with industrial process equipment, pumps, compressors, piping systems, water treatment systems, or containerized process systems.
- Experience managing international projects and field commissioning activities.
- Familiarity with ISO 9001 quality systems.
- Experience with NetSuite ERP and project management software.
